The Nights Away process is the way leaders inform the District that they are planning to take young people on an overnight activity. This includes camps, sleepovers, and residentials.
All residential events must be approved in advance through the official Nights Away Notification (NAN) process, submitted via the Scouts’ digital tool on My Membership. This helps ensure events are safe, well-planned, and meet all necessary safeguarding and risk management standards.
Who Needs to Submit a Nights Away Notification?
Any leader planning an overnight activity where young people are sleeping away from home must submit a Nights Away Notification. This applies to all section types and events, whether indoor or outdoor, and regardless of length.
When Should It Be Submitted?
The Nights Away Notification should be submitted at least 14 days before the event. More notice is always better, especially for new or complex activities.
Before You Start – What You’ll Need:
Dates and location of the event
Type of accommodation (e.g. campsite, hall, etc.)
Number and age range of young people attending
Activity details (e.g. cooking, adventurous activities)
Emergency contact details for home contact
Your risk assessment(s) and programme outline
Details of your Nights Away Permit (you must hold a valid permit to lead the event)
How to Submit a Nights Away Request (Step-by-Step)
Log in to My Membership
Go to: https://members.scouts.org.ukSelect ‘Nights Away’ from the menu
Choose to create a new Nights Away Notification.Complete the form
Enter all required details about the event, including location, dates, permit holder name, numbers attending, and home contact details.Upload documents
Attach your risk assessment and programme plan. If adventurous activities are involved, include permits or provider information.Submit the notification
Once submitted, your request will be sent to your District’s Nights Away Approver for review.Await approval
You may be contacted if any clarification or further information is needed. Once reviewed, your notification will be approved, and you’re all set.
Important Notes
You must hold (or be working with someone who has) the appropriate Nights Away Permit.
If this is your first time running an event or using a new venue, a visit from a Nights Away Assessor may be needed.
Submitting a NAN is not the same as applying for a permit – it’s a notification for a specific event, not a general qualification.
